Submitting Documents

This guide covers the document submission process for applicants and collaborators.

Uploading a Document

  1. Open your project from the dashboard
  2. Find the approval list item you want to submit against
  3. Click Upload Document
  4. Select your file from your computer

Supported Formats

You can upload files in any of these formats:

  • PDF (.pdf)
  • Word (.docx, .doc)
  • Excel (.xlsx, .xls)
  • PowerPoint (.pptx, .ppt)
  • Images (.jpg, .png, .gif)
  • Text (.txt, .csv)

Non-PDF files are automatically converted to PDF for viewing and review.

What Happens After Upload

  1. Status changes — the item moves to In Review status
  2. AI checks run — if the item has document checks configured, they analyse the document automatically
  3. Approver notified — the approver receives an email notification about the new submission
  4. Document appears — the uploaded file is visible to all project members

Responding to Request for Info

When the approver marks an item as Request for Info, it means they need additional information or a revised document:

  1. Check the comments on the item — the approver should have explained what's needed
  2. Prepare the revised document
  3. Upload the new version to the same item
  4. The item status returns to In Review

The previous version is preserved in the document history, so nothing is lost.

Tracking Progress

Your project view shows the status of every item at a glance:

Tips

  1. Read item descriptions carefully — understand exactly what's needed before uploading
  2. Check for reference documents — the approver may have attached example documents to help you
  3. Use comments to ask questions — if a requirement is unclear, ask before uploading
  4. Upload the right format — while ApprovIQ accepts many formats, PDF is preferred as it avoids any conversion artifacts
  5. Name files descriptively — clear filenames help the approver quickly identify what you have submitted
