Configuring Whitelabel Branding
This guide walks you through setting up whitelabel branding so your project emails and invitations display your logo and brand colours.
Why Set Up Whitelabel
When you invite applicants and collaborators to a project, they receive email notifications from ApprovIQ. With whitelabel branding configured, those emails display your branding instead of the default ApprovIQ look — creating a professional, branded experience for your clients.
Whitelabel affects:
- Project invitation emails
- Document upload and status change notifications
- Daily digest emails
- All automated email communications
Step-by-Step Setup
1. Open Settings
Click your name or avatar in the top-right corner, then select Settings.
2. Upload Your Logo
In the Whitelabel section:
- Click the logo upload area
- Select your logo file:
- PNG recommended (supports transparency for clean email headers)
- JPEG also supported
- Maximum size: 2 MB
- Recommended width: 200–400 pixels
- The logo will be displayed at 48px height in email headers, with width scaled proportionally
Use your standard business logo with a transparent background (PNG) for the cleanest result in email headers.
3. Set Your Accent Colour
Enter your brand colour as a hex code (e.g., #2e5f64):
- This colour is used as the base for all email styling
- Headings — use your accent colour
- Buttons — call-to-action buttons (e.g., "View Project") use your accent colour
- Links — text links match your brand
- Backgrounds — subtle accent tones are derived for section backgrounds
Choose a colour that:
- Represents your brand
- Has good contrast with white text (for buttons)
- Looks professional in an email context
4. Settings Are Saved Automatically
There is no save button — changes take effect as soon as you update them. The next email sent from your projects will use your branding.
Testing Your Branding
To see how your branded emails look:
- Create a small test project with a colleague as the applicant
- Have them upload a document, or add a comment yourself
- Check the notification email — it should display your logo and colours
Alternatively, trigger a notification on any active project and check the resulting email.
When Whitelabel Applies
Your branding is used when all projects in a notification share a single approver (you) with whitelabel configured:

| Digest with projects from different approvers | Default ApprovIQ branding |
This logic ensures that branded emails always clearly represent a single practice or organisation.
Whitelabel vs. Stamp Branding
Whitelabel and stamp configuration are separate:

| Whitelabel accent colour | Email colours (headings, buttons, links) |
| Stamp logo | Logo on stamped PDF documents |
| Stamp colours | Colours of the PDF stamp overlay |
