Stamp Configuration

Before you can stamp approved documents, you need to configure your stamp details. This is a one-time setup that applies to all your projects.

Accessing Stamp Settings

  1. Click your avatar/name in the top-right corner
  2. Go to Settings
  3. Find the Stamp Configuration section

Required Settings

These fields are required before you can stamp documents:

FieldDescriptionExample
Full nameYour name as it should appear on stamps"Jane Smith"
Approver numberYour professional registration or certification number"BDC0032"

Optional Settings

These fields enhance your stamp but are not required:

FieldDescriptionExample
Business nameYour company or practice name"Smith Building Certifiers Pty Ltd"
Job titleYour professional title"Principal Building Surveyor"
SignatureAn image of your handwritten signaturePNG or JPEG, max 2 MB
LogoYour business logoPNG or JPEG, max 2 MB
Primary colourBorder and top zone colour#2e5f64 (teal)
Secondary colourMiddle zone colour#1B365D (navy)

Colours

The stamp uses two colours to create a professional, visually distinct appearance:

Primary Colour (Default: #2e5f64)

Used for:

  • The stamp border/frame
  • The top zone background (business name, reference, date)

Secondary Colour (Default: #1B365D)

Used for:

  • The middle zone background (your name, title, registration number)

Choose colours that align with your brand and provide good contrast with white text.

Signature Image

  • Format: PNG (recommended, supports transparency) or JPEG
  • Maximum size: 2 MB
  • Tip: Sign on white paper with a dark pen, photograph or scan it, and crop tightly. A transparent PNG background produces the cleanest result.

Logo Image

  • Format: PNG (recommended) or JPEG
  • Maximum size: 2 MB
  • Tip: Use your standard business logo. A transparent PNG background works best.

Both images are displayed in the bottom zone of the stamp — signature on the left, logo on the right.

Separate from Whitelabel

Stamp configuration is separate from whitelabel branding:

  • Stamp settings control what appears on stamped PDF documents
  • Whitelabel settings control how emails and invitations look
  • You can configure one without the other
  • The stamp logo and whitelabel logo are separate uploads — you might use the same image for both, or different ones

Previewing Your Stamp

After configuring your settings, you can see how your stamp will look by stamping a document on any project. The stamp appearance is generated dynamically from your current settings — if you update your colours or upload a new signature, future stamps will reflect the changes.

info

Changes to stamp settings only affect future stamps. Previously stamped documents retain the stamp as it appeared when it was applied.
